  • How many people can your venue hold?

    Each site on the property has different capacity limits. And, each capacity varies based on your floor plan, meal service, etc. You can find some “quick” info on our capacities, HERE.

  • What is required to book your venue?

    We require a signed contract and a first payment to hold any site or date. The first payment is typically 50% of the venue rental total. Please note, the first payment amount may vary based on the time between contract execution and event date.

  • What is included in the venue rental fee?

    Every contract includes a base number of tables, chairs, and linens. The amount varies by contract, so please reference your contract for specific details. You can find a “quick” list of details, here.

  • What does it cost to rent your venue?

    Each contract is different based on which site(s) you are using, your guest count, and any additional rentals you might add. You can find a “quick” list of pricing, here. Please reference your contract for exact pricing details and breakdown.

  • Do I have to use a set caterer?

    We don’t have an exclusive caterer you have to use, but we do require that all catering and bar service providers be approved by the venue team PRIOR to signing a contract with them. Extended Stave Events reserves the right to refuse access to any vendor not approved in advance. Additionally, ESE will not be liable for any fees incurred by the client for a vendor that is/was not approved.

  • Are there vendors I am required to use?

    We do not have a list of required vendors, however all vendors must be approved by ESE staff prior to signing a contract. We can provide a list of preferred vendors, should you need.

  • What is your cancellation policy?

    All cancellations must be made in writing via email or by USPS mail. Please see your contract terms for details on how to submit a cancellation notice. First payments are non-refundable, at any time, for any reason.

  • What is your inclement weather policy?

    The the case of needing to reschedule due to inclement weather - the venue will transfer your event date to a new date, so long as it is available and of the same level. For example, if your event is in the Winter on a Monday, we can transfer your event to another Winter Monday date, that is available. Events rescheduled within 7 days of the event date will incur a $300 change fee.

  • Do you have an event planner/coordinator included in the use of the venue?

    No. Lexington Event Company is our partner for managing the venue, but they are not on-site to serve as a wedding/event planner or coordinator. We can provide referrals to planners or coordinators, should you need.

  • Is an event planner or coordinator required to use your venue?

    We require that every corporate event have a primary point of contact who is identified in advance and who will be on site from load in to load out the day of the event. We require that every wedding have a wedding coordinator or planner, who will be on site through the duration of the event (through load out/clean up).

  • What is the security deposit for?

    The $500 security deposit should be a separate check, made to Lexington Event Company, post-dated to the date of your event. This check is ONLY cashed should fees be incurred day-of. Fees may include, but are not limited to, damages, cleaning fees, overtime, added rentals not ordered in advance, etc. Should the Security Deposit not be needed, this check will be shredded within 7 business days of the event. If the Security Deposit is needed, an email will be sent to the client prior to depositing the check with details. The security deposit cannot be combined with any other payment, and cannot be paid by card.

  • What time do I get access on the day of my event?

    Access starts at 12:00 PM for events Monday-Friday, and 10:00 AM for events on Saturday/Sunday. This only includes the areas you’ve rented on your contract - any unrented areas will not be open.

    Events can go until 10:00 PM unless extra time is contracted. You have from 10p-12a to breakdown and clean up.

    Access will be adjusted for daytime events.
